Importing Partners and Leads to Partnerplace
Out data import feature allows you to efficiently import your partners and leads in bulk into Partnerplace, using a CSV template.
Importing Partners
To successfully import partner data into Partnerplace, follow these steps:
- Prepare your Partnerplace. Go to the Administrator Panel>Partner Types and create the necessary partner types, levels, commissions. You can read how to do it here. If you plan to have Partner Managers, add them in Administrator Panel>General Settings .
- Go to Administrator Panel>General Settings and navigate down to Data Import section.
- Click on Data import link.
- Download Template Click on the "Export your template" button in Import Your Partners section to download the CSV template. This template includes all the necessary headers and ready-to-use types from your system.
- Fill in Partner Data. Open the template in a spreadsheet program and enter your partner information. Include emails, names, and other relevant details. For columns like type, level, commission, and manager, use the exact names you created in the system. For partner managers, use their email addresses or your own admin email, if you don't have any Partner Managers.
You will see exemplary data in the CSV file - you can check these to get an idea of how to fill in the spreadsheet. The instructions are on the right side of the file.
- Save your file as a CSV
- Click on the "Upload CSV file" button in the Data Import module.
- In the pop-up window, click on the file input area or drag and drop your CSV file.
- If you're importing partners, you'll see a checkbox option: "In addition to importing my partner data, I want to send an email notification to new partners, informing them that they have been added to the Partnerplace." Check this box if you want to notify new partners.
- Click the "Upload" button to start the import process.
Notification Settings:
Decide whether to send email notifications to newly added partners about joining Partnerplace. If not selected, you would have to manually distribute the link to forgotten-password feature in order for the users to gain access to Partnerplace.
Importing Leads
To import your lead data into Partnerplace, follow these steps:
- System Preparation: Ensure you have added partners and created necessary commissions in the admin panel.
- Go to Administrator Panel>General Settings and navigate down to Data Import section.
- Click on Data import link.
- Template Download: Click "Export your template" in Import Your Leads section, to get the CSV template with appropriate headers and fields.
- Enter Lead Data: Fill the template with your leads' information. In the "partner" column, use email addresses that correspond to existing partners in your system. You will see some exemplary data in the CSV, that will guide you with a correct data structure.
- Import Process: Save as CSV and use the "Upload CSV file" button to import. If the data is correct, it will be successfully uploaded.
Important Notes
- If any partners couldn't be added, you'll see a log, listing partner emails that weren't successfully imported + the reasons for .
- Both partner and lead templates include an instructions column for your reference.
- The system handles commas in names or other fields correctly, ensuring accurate imports.
- You can include commas in any field of the import template without affecting the import process.
Troubleshooting Common Import Issues
Invalid Email Formats
One of the most common issues during imports is invalid email formats. If you encounter this problem:
- Check each row mentioned in the error messages.
- Ensure email addresses do not contain special characters (except for @ and .).
- Remove any spaces before or after email addresses.
- Verify that each email follows the standard format: username@domain.com.
Example of error messages you might see:
Row 2: Invalid email format 'test@email..com'. Row 3: Invalid email format 'test@email,com'.
Missing Required Fields
Ensure all required fields (marked with * in the template) are filled for each entry.
Incorrect Data Types
Make sure the data in each column matches the expected type (e.g., numbers for numeric fields, valid dates for date fields).
Non-Existent References
When importing leads, ensure that the partner emails referenced exist in your system.
Duplicate Entries
Check for and remove any duplicate entries in your CSV file before uploading.
Tips for Successful Imports
- Always use the provided template to ensure your data structure matches the system requirements.
- Double-check all data for accuracy before importing.
- For large datasets, consider importing in smaller batches to more easily identify and resolve issues.
- After import, verify the data in the Partnerplace partner and lead lists to ensure everything was imported correctly.
