Files module

The Files module allows you to manage, organize, and share files with your partners. This feature can be enabled or disabled for partners as needed.

Accessing the Files Module once enabled

  1. Log in to your Partnerplace account.
  2. Click on "Files" in the left sidebar menu.

Managing Files

Uploading Files

  1. Click the "Upload file" button.
  2. Select the file you wish to upload from your device.
  3. Provide a File Name for the uploaded file.
  4. Choose a Folder Name to organize your files (optional).
  5. Set Access permissions:
    • Select Partner Type (e.g., Freelance partner)
    • Choose Partner Tier (e.g., Premium)
    • Select specific Partners if desired

Creating Folders

  1. Click the "Create folder" button.
  2. Enter a Folder Name.
  3. Set Access permissions:
    • Select Partner Type (e.g., Freelance partner)
    • Choose Partner Tier (e.g., Premium)
    • Select specific Partners if desired
  4. Click "Create" to finalize the folder creation.

Sharing Options

When uploading or managing files, you have several sharing options:

  • Share the file with every partner.
  • Notify partners about the shared file via email.
  • Create an event in partners' timelines when sharing a file.
  • Mark the file as shared, indicating that partners can share it with others.

File Information

For each file, you can view:

  • File Name
  • Shared for (partner type/tier)
  • File Extension
  • Created Date
  • File Size
  • Whether it can be shared

File History

You can access the file history, which shows:

  • Email of the user who downloaded the file
  • Name of the user
  • Date of download

Disabling Files Module for Partners

To disable the Files module for partners:

  1. Navigate to the Administrator Panel.
  2. Go to the Modules section.
  3. Find the Files module.
  4. Toggle the switch to disable access for partners.

Important Notes

  • If you haven't added any files yet, you'll see a message: "You haven't added any files yet. Start by clicking the 'Upload file' button above."
  • Ensure you set appropriate access permissions to maintain file security.
  • Regularly review and manage your files to keep the system organized.

By utilizing the Files module effectively, you can streamline file sharing and collaboration with your partners while maintaining control over access and distribution.


Troubleshooting Files Module

If you encounter issues with the Files module, try these troubleshooting steps:

Files Not Uploading

  1. File Size: Ensure your file doesn't exceed the maximum allowed size. While the exact limit isn't specified, the example shows a 27.67 KB file successfully uploaded.
  2. File Format: Verify that the file format is supported. The screenshots show .png files being accepted.
  3. Folder Permissions: Check that you have the necessary permissions to upload to the selected folder.
  4. Browser Issues: Try using a different browser or clearing your current browser's cache and cookies.

Access Problems

  1. Partner Type and Tier: Confirm that the Partner Type (e.g., Freelance partner) and Partner Tier (e.g., Premium) settings are correctly configured for the intended recipients.
  2. Individual Partner Selection: If sharing with specific partners, ensure they are properly selected from the "Partners" dropdown menu.
  3. Global Sharing: If the file should be accessible to all partners, verify that the "Share this file with every partner" option is checked.

Notification Issues

  1. Email Notifications: If partners aren't receiving email notifications about shared files, check that the "I also want to notify all partners that I am sharing this file with by sending them an email" option is selected.
  2. Timeline Events: For timeline notifications, ensure the "I also want to notify all partners that I am sharing this file with by creating an event in their timelines" option is checked.

File History Not Displaying

  1. Recent Uploads: File history may not be immediately available for very recent uploads. Wait a few minutes and try accessing the history again - once the file has been downloaded, the history will become available.
